HatDay LLC ("HatDay," "we," "us," "our") provides a calendar automation service that helps families manage scheduling via SMS, MMS, and email. This Privacy Policy describes what information we collect, how we use it, and your rights regarding your data.
1. Information We Collect
Information you provide directly:
- Name, phone number, and email address during signup
- Messages, photos, and content you send to HatDay via SMS, MMS, or email
- Support requests and feedback
Information from Google services (with your authorization):
When you connect your Google Calendar, HatDay accesses the following through Google APIs:
- Google Calendar (scope:
https://www.googleapis.com/auth/calendar) — to create, read, modify, and delete events on your calendar, and to share your calendar with our service accounts (hatday@hatdayhub.com and support@hatdayhub.com) for automated and human-assisted event management
- Profile and email (scopes:
userinfo.email, userinfo.profile) — to identify your Google account and associate it with your phone number
Information collected automatically:
- Usage data (which features you use, when, how often)
- Timestamps of messages and events processed
- Technical data needed for our service to function
2. How We Use Your Information
We use your information to:
- Create, modify, and manage events on your Google Calendar based on your messages and shared content
- Send SMS confirmations, reminders, and notifications via Telnyx
- Improve our service through aggregate, anonymized usage analysis
- Provide customer support
- Communicate important service updates
AI processing: We use third-party AI services — OpenAI GPT-4 to interpret natural language messages, and Google Cloud Vision API for optical character recognition on images you send — solely for the purpose of extracting calendar event details from your content. Content sent to these services is not used to train AI models.
3. How We Share Your Information
We do not sell your personal information. We share data only with:
Service providers that operate HatDay:
- Google (Calendar API, Cloud Vision API, Cloud Platform infrastructure)
- OpenAI (GPT-4 for natural language understanding)
- Telnyx (SMS/MMS message delivery)
- Slack (internal operational notifications to our team)
- Netlify (web hosting)
Our support team:
Designated HatDay support staff with access to support@hatdayhub.com may view your calendar data to help with event triage and customer support requests. Calendar access is granted via standard Google Calendar sharing, which you can revoke at any time.
Legal compliance:
If required by valid legal process or to protect rights, property, or safety.
4. Google API Services User Data Policy Compliance
HatDay's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically:
- We use Google user data only to provide and improve HatDay's calendar automation service
- We do not use Google user data for advertising or marketing purposes
- We do not allow humans to read Google user data except (a) with your explicit consent, (b) for security purposes such as investigating abuse, (c) to comply with applicable law, or (d) for operations purposes where the data has been aggregated and anonymized
- We do not transfer Google user data to third parties except as necessary to provide our service, comply with law, or as part of a merger or acquisition with appropriate notice
5. Data Retention
- Calendar event data is retained while your HatDay account is active
- Messages and conversation history are retained for service quality and triage purposes
- OAuth tokens are stored securely in our database and used solely to enable our service accounts to access your calendar
- If you delete your account, we delete your associated data within 30 days, except where retention is required by law
6. Your Rights and Choices
You can at any time:
- Disconnect HatDay from your Google account at myaccount.google.com/permissions
- Stop calendar sharing by removing
hatday@hatdayhub.com and support@hatdayhub.com from your Google Calendar share settings
- Unsubscribe from SMS by replying STOP to any HatDay message
- Request data deletion by emailing support@hatdayhub.com with the subject line "Delete my data"
- Request access to your data by emailing support@hatdayhub.com
7. Children's Privacy
HatDay is intended for adults managing family schedules. We do not knowingly collect personal information from children under 13. If you believe a child has provided information to HatDay, please email support@hatdayhub.com and we will promptly delete it.
8. Security
We implement reasonable technical and organizational measures to protect your data, including encryption in transit (TLS), restricted access controls on internal systems, and regular review of our security practices. No internet-connected system is 100% secure, and we cannot guarantee absolute security.
9. International Users
HatDay is operated from the United States. By using HatDay, you consent to your information being processed and stored in the United States.
10. Changes to This Policy
We may update this Privacy Policy from time to time. Material changes will be communicated to active users via SMS or email. The "Last Updated" date at the top of this policy reflects the most recent revisions.
